Anyone who moves waste in the UK owes a duty of care (Environmental Protection Act 1990 s.34): each transfer needs a written note that both sides keep for two years (three in Scotland). SwardOps builds that note for you.
Set up once. Settings → Features → Waste transfer notes: enter your waste carrier registration (upper tier if you carry customers' waste — most contractors do; lower tier is free but covers only your own waste), its expiry, your SIC code, and your usual tip / transfer station (from Suppliers). The registration also lands in Compliance so the expiry is chased. On each customer record add their SIC code — the code on a note is the transferor's, and when you remove a client's green waste the client is the transferor.
On site. The visit page has Waste taken off site → Log a load: pick the waste type (green waste, soil & turf, wood, hardcore, mixed — the six-digit EWC code fills in), how much (bags or a weight; bags are recorded as an estimated ~15 kg each), how it's carried, the van's registration (pre-filled from the crew's usual vehicle), then the site contact signs on the phone and ticks the waste-hierarchy confirmation. Works offline — it syncs like everything else.
What happens next. If every item regulation 35 asks for is present, the note is issued straight away: a PDF is filed on the customer and site, appears in their client portal under Documents, and is emailed to them. If something's missing (usually the customer's SIC code) it waits in Team → Waste notes under Needs the office with the gaps listed; fix and issue.
Season tickets. For a regular round where the customer, the waste and the site don't change, create a season ticket (up to 12 months) on the Waste notes page. Every load the crew log then goes on its transfer schedule (date, time, quantity, place — the Code of Practice requires the schedule), and one PDF covers the year.
Records. Issued notes can't be deleted, only voided with a reason — they're legal records. Each note shows its retain until date. Digital waste tracking: Defra's service becomes mandatory for carriers from October 2027; these notes already hold every field it asks for.
