Emergency contacts & HR details

Crew fill in their own next of kin — the office sees it when it matters.

If someone's hurt on site, you need to know who to ring. Two halves:

  • Crew side — in the app, More → My details: their mobile, date of birth, home address and emergency contact (name, number, relationship). It writes to their own record only, and their Today page nudges them until the emergency number is in — so this fills itself without chasing.
  • Office side — each staff member's page → Documents tab → HR profile: the same fields, editable by admins and anyone granted HR access. Fill it from a form or a spreadsheet if your office runs HR centrally.
  • Employment particulars live on the same card: start of continuous employment, contract type and notice period. They feed the TUPE pack.

TUPE pack. When a grounds contract changes hands, the people who work it usually transfer with it, and the outgoing employer has to hand over Employee Liability Information at least 28 days beforehand. On any contract's Renewal tab, admins and HR-granted staff get a TUPE pack section: SwardOps works out who actually works that contract from where their clocked hours went over the last year, pre-ticks anyone at 50% or more, and builds a PDF with a page per person: identity, particulars of employment, disciplinary record for the last two years, and training held. It's honest about what it doesn't hold (grievances, tribunal claims, collective agreements) and leaves you a line to confirm each. Nothing is stored or sent; you generate it and disclose it yourself.
