Checks are done on the crew's phone, from the Yard screen at the end of the day or the morning briefing before kit goes out. Each one is a short form from the template for that machine type (Settings → Machine checks).
Three kinds:
- End-of-use — every machine you had out today, when you return it. Towing? Say so at the top and the trailer or implement's own check follows straight after.
- Pre-use — a walk-round before a van or trailer leaves the yard (and other machinery where you've written a pre-use form). A clean pass checks the vehicle out to you in the same tap. A red (safety) item answered Not OK leaves it in the yard and raises the fault — pick another.
- Weekly — once a week per machine, from the Yard screen.
What counts as done. A machine shows as checked once its check for today is saved. Taking the kit out a few minutes after you've checked it is fine — the check still stands. If the machine goes out again later (a checkout or job timer hours after the check), SwardOps asks for a fresh check that evening, because a morning catch-up can't vouch for a whole second day's use.
Skipped last night? You'll be asked this morning. If you skipped end-of-day checks (late finish, emergency), the briefing holds them as outstanding and you clear them before you leave the yard. Completing the check clears it.
"It still says not done — do I do it again?" No. If the phone said the check was saved, it was. Two things can make it look otherwise for a moment:
- "Saved on this phone, not on the server yet." You'll see this when there's no signal or the server didn't answer. The check is queued and goes up on its own when you're back in range; the Yard may show the machine as unchecked until then. Don't fill the form in again — if you do, SwardOps spots a second check from you on the same machine within two minutes and keeps the first rather than filing two.
- The page hadn't refreshed. Pull down to refresh the Yard or briefing and it'll catch up.
Returning kit is quick now. Submitting a check saves the record and takes you straight back to the Yard. Anything the check triggers — a fault card, the maintenance email to the office, the push to whoever fixes the machines — happens a moment later, in the background, so you're not stood waiting on it.
Readings. If you enter engine hours or mileage that look wildly out of line with the last reading, the form asks you to confirm before it saves — one mistyped reading used to stick for good.
